Facility Manager (f/m/div).

About the role

In this role, you and your team will be responsible for both the facility and the fleet. Enjoying professional collaboration amongst international colleagues is one of your strengths.

Responsibilities

Facility Management

You are responsible for the overall operation and maintenance of our office premises, you will:

 

  • Coordinate with property management to address any maintenance or repair issues in the rented office space.
  • Manage relationships with external service providers, such as cleaning services or contractors, to ensure the office space is well-maintained and meets the required service standards.
  • Conduct regular inspections of the office space to identify any maintenance or repair needs and coordinate with appropriate vendors or contractors to address them.
  • Follow up office safety aspects and conduct regular risk assessments in collaboration with service providers.
  • Assist with office space planning and layout, including coordination with internal departments to ensure efficient use of space and proper allocation of resources.
  • Manage office furniture and equipment.
  • Address any security concerns related to the rented office space, such as access control, surveillance systems, and alarm systems.
  • Collaborate with office tenants to address their specific needs or concerns regarding the rented office space.
  • Conduct regular meetings or communications with office tenants to address any operational issues or gather feedback for improvement.
  • Manage the documentation and negotiation of lease agreements or contracts related to the rented office space.
  • Supervise reception staff and reception area as well as the caretaker and third party staff (catering  and post).
  • Develop and promote your team.

 

Fleet management

In the area of fleet management, you will:

 

  • Coordinate the procurement and replacement of fleet cars, including researching suitable options, negotiating contracts in cooperation with our procurement department and managing registration and insurance processes.
  • Monitor service levels.
  • Prepare, update and implement a state-of-the art car policy in line with the company’s goals including procedures for the use of fleet cars.
  • Establish a comprehensive fleet management program to ensure the efficient and cost-effective operation of company cars.
  • Maintain accurate records, including car details, mileage, and maintenance history.
  • Work with external service providers to ensure prompt and efficient maintenance and repair of fleet cars.
  • Ensure compliance with all car-related regulations and certifications, including licensing, emissions testing, and registration renewals.
  • Verify correctness of invoices, control cost of car insurances and steer the internal cost distribution.
  • Professionally manage car handovers.
  • Be responsible for vehicle calculation, as well as user advice and support.
  • Supervise the fleet coordinator in your team.

Qualifications

  • Commercial or technical apprenticeship or study;
  • 5-6 years of relevant professional experience;
  • Independent working style;
  • Confident handling of the MS-Office package;
  • Good communication skills.
  • Written and conversational fluency in German and English is required.
